In the Orders section, you can create, edit, and search for orders. You can also combine existing orders into a tour here.

Overview

Create new order

  1. Click on the plus symbol.
    Alternatively: Press SHIFT + S.
    The New Order view opens.

General data

The internal order number generated from the number ranges is displayed here.

  1. Enter the External Order Reference assigned to the order.
  2. Under Choose Employee, specify the employee who created the order or who is responsible for further processing.

Stops

The order consists of several stops, which you define.

Create a stop

  1. Specify which action is performed at this stop (task, loading, or unloading).
  2. Optional: Specify a stop reference that will be displayed in the app. This could be the customer number for a car wash, for example.
  3. Enter parts of an address already stored in the address book in the Search address field. The results found will be listed. Select one of the results.
  4. Optional: If you cannot find the desired address, click on the symbol (4) on the right side of the line. Here you will find a list of all existing customers and their stored addresses. Use the plus symbol to create a new customer.
  5. Define times for the start and end of the action at this stop.
  6. Optional: Enter a comment for the stop, which will be displayed in the app for this stop.
  7. If you do not want to make any further adjustments, click Save.

Add freight

  1. Click on the plus symbol.
    A new view opens.

6 Enter weight (kg)

9 Specify loading equipment exchange (Yes/No).
If Yes is selected, adjust freight comment.
10 Accept entry (do not save yet) and add further freight
11 Accept entry (do not save yet) and close freight view.
Apply

The entries you have made in the Freight view are not yet saved when you click Apply.
The entries are only saved when you click Save after editing the order.

Add more stops

You can add additional stops using two buttons:

  1. Add new stop with cargo (9): Select this option if you want the cargo from the previous stop to be displayed in the newly created stop. You can add loads later.
  2. Add new stop without cargo (10): Select this option if you are not carrying any cargo or have a different load planned for this stop.. You can add cargo later.
  3. If you do not wish to make any further adjustments, click Save.

Calculate distance and tolls

  1. Click on Calculate distance and toll (11).
  2. The calculated route and toll will be displayed on the right-hand side.
  3. If you do not want to make any further adjustments, click Save.

Invoice data

Here you can enter the details for the invoice.

Lump sum billing

  1. Enter parts of an address already stored in the address book in the Search address field. The results found will be listed. Select one of the results.
  2. Click on the pencil icon to edit the invoice.
    A new view opens.
  3. Select Lump sum under Billing type.
  4. Enter the VAT rate and the net end price.
  5. Optional: You can edit the address you entered earlier.

Billing based on distance

  1. Enter parts of an address already stored in the address book in the Search address field. The results found will be listed. Select one of the results.
  2. Click on the pencil icon to edit the invoice.
    A new view opens.
  3. Select Price per distance under Billing type.
  4. Check the values for Distance and Base price, which are determined by the vehicle profile. You can adjust these values. If you want to reset the edited values to those in the vehicle profile, click on the Back icon in front of the corresponding value.

  6. Optional: Enter an additional charge.
  7. Optional: Select the button next to Add toll if you want to include the toll in the invoice.
  8. Optional: You can edit the address you entered previously.

Comments and attachments

  1. Optional: Depending on the order transmission method, instructions are already displayed in the Client's instructions field, or you can enter the instructions yourself.
  2. Optional: In the Dispatcher's comment field, write a comment about the order that will be displayed in the app for each stop on the order.
  3. Optional: Add one or more attachments to the order. The possible file formats are listed. To upload an attachment, click File Upload.

Search order

  1. Enter a search term and/or select filter options.
  2. Click on the magnifying glass icon.
    Alternatively: Press Enter.
    The search results are listed.
  3. Optional: To reset the filter, click on the button with the filter icon.

Export orders as CSV

You can export orders as CSV files.

  1. Click on the cloud icon with arrow. (CSV export)

  2. Enter a search term and/or select filter options.
  3. Click Enter.

  4. Optional: To reset the filter, click on the button with the filter icon.
  5. Select the orders you want to export.
  6. In the column selection, select the columns you want to include in the CSV file.
    Alternatively: Click on the trash can icon next to Preview data to remove columns for export.
  7. Click on Download file.

Create tours and invoices

You can create tours and invoices directly in the Orders section.

  1. Place a check mark in front of the desired orders. (1)
    A view with the selected orders opens on the right.
  2. Select whether you want to create a tour (2) or an invoice (3) from the selected orders.
    A new view opens for the selected option.

Markings 4 and 5

If the Tour field (4) is displayed in red, the order has already been toured.
If the Invoice field (5) is displayed in red, no freight payers or different freight payers have been specified.

Order overview

Open overview

  1. Click on the line of the desired order in the overview.

You can click anywhere in the row, except on the box in the first column. Use this box to select the orders to create tours and invoices.

The order overview opens.

Close overview

  1. Click on the cross icon.

Edit order

  1. Click on the pencil icon (edit order).
    The editing screen for the order opens.
  2. Make the desired changes.
  3. Click Save to save the changes.

Copy order

To create multiple similar orders, you can make a copy of an order that has already been created.

  1. Click on the Document icon (Copy as new job).
    A small window will open.
  2. Enter a start date for the copied job.
    Alternatively: Select the date by clicking on the calendar icon.
  3. Click Next.
    The New Order view opens with the details of the copied order.
  4. Make the desired adjustments.
  5. Click Save.

Archive order

  1. Click on the folder with arrow icon (Archive order).
    The order is now hidden.

Display archived orders

  1. Set the status to Archived.
  2. Click on the magnifying glass icon.
    All archived orders will be displayed.

De-archive order

  1. For an archived order, click on the folder with the up arrow icon (unarchive job).

Share order

Share order

To share an order, you must first create a profile in the settings under Order conditions.

partner order

When you share an order, it becomes a partner order.

  1. Click on the Share icon (Share order).
    A new view opens.
  2. Enter parts of an address already stored in the address book in the Search address field. The results found will be listed. Select one of the results.
    The view expands.

  1. Optional: After entering the address, you can preview the PDF file you have created. To do this, click on Generate preview and then select Download or Open to view the preview.
  2. Adjust the email address if necessary.
  3. Click Send PDF.
    You can view the status of the invitation under Order outbox.

Delete order

Delete order

You can only delete orders whose status is Ready for handling.

You can delete orders that have already been created.

  1. Click on the trash can icon (delete order).
  2. Confirm that you really want to delete the order.

Edit prices/ payers

Edit prices/ payers

This option is only available for partner orders for which no invoice has yet been created.

  1. Click on the Euro symbol.
    The Update Order window opens.

    Now follow the instructions under Invoice data.
