Language selection

The language must be set individually for TOM and may differ from the language defined in SPEDIONline. You can choose from the following languages:

  • German
  • English
  • Spanish
  1. Click on the gear icon in the top right corner.
    A drop-down menu will open.

  2. Select the desired language.

User settings

User settings are only saved for your user account.

  1. Click on the gear icon in the top right corner.
    A drop-down menu will open.
  2. Click Settings.

Order settings

Here you can create profiles for different order conditions.

Name Function
New order -> first stop -> date The date of the first stop is entered here by entering the difference between today's date and the start date.
Example:
Today is October 1 and the order is on October 4.
Now the difference between 4 and 1 is calculated: 4-1=3.
This result is entered in the field.
New order -> first stop -> time The exact time of the first stop is entered here. Either as a fixed time or as the current time + x hours.
loading time delta The loading time delta defines the standard time window between the start and end times at a loading point. A maximum of 24 hours (=1440 minutes) can be entered.
When you add a new stop to an order, the end time is automatically determined from the start time and loading time window. You can adjust the end time later.
Time between 2 stops The standard time window between two loading processes or actions is entered here in hours. A maximum of 72 hours can be entered.
Copy cargo references If the slider is active, cargo references are copied when creating new stops with freight.
Standard employee for order filters The selected employee is used in the order filter by default.

Tour settings

Here you can check the box to indicate which functions you want for the tour.

Global settings

Global settings are saved for all users in your company.

  1. Click on the gear icon in the top right corner.
    A drop-down menu will open.
  2. Click Settings.

General

App-side cargo changes

Here you can select how you want to handle app-side cargo changes. To do this, click on the circle in front of the desired option.

Number ranges

Here you can define the number ranges to be used in TOM. This is important, for example, for the correct creation of invoices.
You can define the number ranges for the following elements:

  1. Order
  2. Tour
  3. Contact
  4. Invoice
  5. Credit memo
  6. Credit memo request

Define number range

  1. Click in the field you want to customize.
  2. Enter the desired value.
    In the Preview column, you can see what the number range would look like.
  3. Click the check mark at the end of the line to save the change.

Number range fields

Name Description
Number range This is the element for which the number range is defined.
Prefix You can define a prefix here.
Divider Here you can define one or more dividers.
Leading zeros Here you can specify the number of zeros to be displayed before the meter reading.
The sum of the digits of the counter reading and leading zeros gives the number of digits in the invoice number.

Example
You want your invoice numbers to have at least 5 digits and see that the value 9 is currently displayed in the Counter reading column.
Solution:
Enter the value 0000 in the Leading Zeros column.
4 digits (leading zeros) + 1 digit (counter reading) = 5 digits

The next invoice created will have the invoice number 00010.
If the meter reading jumps from 9 to 10, the value of Leading Zeros is automatically reduced to 000. You do not need to make any adjustments.
Counter The current counter reading is displayed here. For example, if the counter reading displayed for invoices is 3, the next invoice created will be numbered 4. You can also define the counter reading yourself.
Preview A preview of the number range is displayed here.
Note!
The current counter reading is always displayed in the preview.
For example, if the number 3 is displayed in the invoice preview, the next invoice created will contain the number 4.

Company profile

Here you can create your company profile. The information will be used for invoicing purposes.

Create company profile

  1. Enter the company name.
  2. Optional: Enter additional information, such as VAT authentication number and bank details.
  3. Optional: Enter a comment. The comment is for internal notes only and will not be processed further.
  4. If you do not want to make any further changes to the company profile, click Save.

Create address

  1. Click Create New Address to enter one or more addresses.
    The map search opens.
  2. Enter the company name, address, or parts of it in the Map Search field.
  3. Press the Enter key to confirm your entry.
    A suitable address is searched for and suggestions are displayed.


4. Under Select Place, you will see the first suggestion for your search entry. You can view and select further search results using the drop-down menu. You can also drag and drop the pin displayed to a different location.
5. Check the address details under Revice address. You can adjust the address if necessary.
6. Click Add.
The address is now displayed in the address field.
7. Optional: Select the Primary invoice address option to use this address for invoices.
8. If you do not wish to make any further changes to the company profile, click Save.

Add contact person

  1. Click on the plus symbol in the Contact row.
    A new field opens.
  2. Enter the contact person's details.
  3. If you do not wish to make any further changes to the company profile, click Save.

VAT. profiles

Here you can store different vat rates, which you can select from when creating orders.

Create VAT. profile

  1. Click on the plus symbol.
    A blank investment form opens.
  2. Select a profile name.
  3. Optional: Write a comment.
  4. Select a VAT rate.
  5. Optional: You can set the profile as Standard. This profile will then be selected by default.
  6. Click Save.

Delete profile

  1. Click on the trash can icon for the profile you want to delete.

Vehicle profiles

Here you can customize vehicle profiles for tours. Vehicle profiles influence calculated travel times and possible routes. In addition, a base price per kilometer can be stored.

Edit vehicle profile

There are four predefined vehicle profiles:

  1. Heavy truck, 18-40 t, > 3 axles → Vehicle type: TruckHeavy
  2. Medium truck 12-18 t → Vehicle type: TruckMedium
  3. Light truck 7.5-11.99 t → Vehicle type: TruckLight
  4. Car → Vehicle type: Car
Specified vehicle type

You can customize the four vehicle profiles, except for the vehicle type.
The vehicle type influences the calculated travel times and possible routes.

Edit vehicle profile

  1. Select one of the four vehicle profiles from the drop-down menu. Pay attention to the specified vehicle type.
  2. Enter a base price for each vehicle profile. This will be used by default for distance-based price calculations. It can be manually overridden in each order.
  3. Select the emission type of the vehicle.
  4. Select the CO2 class of the vehicle.
  5. Choose whether routes and maps should be loaded according to this profile first.
  6. Click Save.
Create/delete vehicle profiles

At this time, vehicle profiles cannot be created or deleted. Please customize the four existing vehicle profiles according to your preferences.

Invoice conditions

Here you can create profiles for different invoice conditions.

Create invoice conditions

  1. Click on the plus symbol.
    A blank investment form opens.
  2. Select a profile name.
  3. Optional: Enter a description.
  4. Optional: Specify special agreements, contract conditions, and/or company information.
  5. Specify a payment term.
  6. Optional: Add your company logo to the invoice, for example.
  7. Optional: Select Default if you want this profile to be displayed first in invoices.
  8. Click Save.

Delete profile

  1. Click on the trash can icon for the profile you want to delete.

Order conditions

Here you can create profiles for different order conditions.

Create order condition

  1. Click on the plus symbol.
    A blank investment form opens.
  2. Select a profile name.
  3. Optional: Enter a description.
  4. Optional: Specify special agreements, contract terms, and/or company information.
  5. Optional: You can set the profile as Standard. This profile will then be selected by default.
  6. Click Save.

Delete profile

  1. Click on the trash can icon for the profile you want to delete.

Invitations

Here you can accept token invitations you have received.

Accept invitation

  1. Click on Invitations.
    A small window will open.
  2. Enter the token from your invitation email.
  3. Click on the orange arrow (invitation details).
