Article summary

Group and rights management in Document Management allows you to control documents/files and their availability in a targeted manner.

For example, you can create a group for all vehicles of type A and then assign all documents/files that are necessary for vehicles of type A to these vehicles only.

This allows you to actively save storage space and money, minimise the number of available documents/files for better clarity and select specific information.

You can also assign files or folders only to a specific driver or a specific vehicle.

Create permission groups

  1. In the Administration, click on Document Management in the menu bar.
  2. Click on Group manager.
  3. Enter the desired name for the new group in the Group name field at the bottom left.
  4. Click on Add new group.

The newly created permission group does not yet contain any members (vehicles and/or drivers).

  1. Add members to the group.

  1. In the Group manager, select the desired group on the left-hand side (1).
  2. Click on Vehicles (Vehicle groups / Drivers / Driver groups) (2).
  3. In the Unassigned vehicles (vehicle groups / drivers / driver groups) (3) column, click on the desired vehicle (group / driver).
  4. Click on the Arrow to the right (4).
  5. Click on Save changes (5).

Remove group members

  1. In the Group manager, select the desired group on the left-hand side.
  2. Click on Vehicles (Vehicle groups / Drivers / Driver groups).
  3. In the Unassigned vehicles (vehicle groups / drivers / driver groups) column, click on the desired vehicle (group / driver).
  4. Click on the Arrow to the left.
  5. Click on Save changes.


Delete permission group

  1. In the Group manager, select the desired group on the left-hand side.
  2. Click on Delete Group at the bottom right.
  3. Click on Delete.

    Here you can see which files/folders are currently still assigned to the authorisation group.


  4. If you click on Delete Group, the group assignment will be removed from the file/folder.
    Please note that this could make the file visible to all SPEDION App (LUCY App) users in your company.

If you have selected Remove group for all files, the permission group will be deleted.
