Invoicing

In the Invoicing section, you can create invoices from orders.
Invoices use profile settings that were previously defined in the Settings section.

Create new invoice

  1. Click on the plus symbol.
    The New Invoice view opens.
  2. Enter parts of an address already stored in the address book in the Search address field. The results found will be listed. Select one of the results. (1)
  3. Optional: Enter an external invoice number. (2)
  4. Select the document type. (3)
  5. Select the date of invoice creation. (4)
  6. Add positions to the invoice. You can add positions from orders (5) and free positions (6).
  7. Select the invoice terms. (7)
  8. Click Save. (8)

Search invoice

  1. Enter a search term and/or select filter options.
  2. Click on the magnifying glass icon.
    Alternatively: Press Enter.
    The search results are listed.
  3. Optional: To reset the filter, click on the button with the filter icon.

Export invoice as CSV

You can export invoices as CSV files.

  1. Click on the cloud icon with arrow. (CSV export)
    A new window will open.
  2. Optional: Click on the plus symbol to create a new invoice.
  3. Enter a search term and/or select filter options.
  4. Click on the magnifying glass symbol.
    Alternatively: Press Enter.
    The search results are listed.
  5. Optional: To reset the filter, click on the button with the filter icon.
  6. Select the invoice you want to export.
  7. In the column selection, select the columns you want to include in the CSV file.
    Alternatively: Click on the trash can icon next to Preview data to remove columns for export.
  8. Click on Download file.

  1. In the overview, click on the line of the desired invoice.
Click on the line of the desired invoice.

You can click anywhere in the row, except in the Referenced Orders column.

The invoice overview opens.

  1. Click on the cross icon.

Edit invoice

The invoice can only be processed if it is in Draft status.

  1. Click on the pencil icon (edit invoice).

  2. Make the desired changes.
  3. Click Save.

Delete invoice

Only drafts can be deleted; other invoice statuses are considered cancellations.

  1. Click on the trash can icon (Delete invoice).
  2. Confirm that you really want to delete the invoice.

Change invoice status

The invoice must not have the status Cancellation.

  1. Select the invoice status from the drop-down menu.
  2. Confirm your selection by clicking on the check mark.

Download invoice

  1. Click Download invoice.
    A new input window opens.
  2. Select the template from the drop-down menu.
  3. Optional: Select attachments to download the invoice including attachments.
  4. Click Download invoice.
    Alternatively: Click Download ZIP with attachments to download a ZIP file containing the invoice and attachments.

Cancel invoice

Cancel invoice

Drafts cannot be canceled, only deleted.

  1. Click on the trash can icon with lines (Cancel).
    A small window will open.
  2. Optional: Provide a reason for the cancellation.
  3. Click Go ahead.
    A new data record is created as a credit memo and the old invoice is canceled.
